Job Purpose – overview

Xcite West Lothian Leisure (Xcite) is a Community Benefit Organisation, a registered Scottish charity. Your role is to assist the Area Manager to develop and deliver a high quality, safe, and cost-effective community schools' programme at Winchburgh Academy and across our 8 other secondary schools within West Lothian. This includes leading and inspiring the school's team to deliver excellent customer service that replicates our award-winning standard at Xcite venues.

To be successful in the role, you will demonstrate excellent communication skills that enable you to build strong partnerships that create long-lasting and positive ways of working between our strategic partners, clubs and local community groups.

Core Accountabilities & Responsibilities

Assist in the creation and implementation of an annual school's service improvement plan to achieve the financial, customer, and employee people objectives of the business. This will include an individual service improvement plan for Winchburgh Academy

Ensure the Community Access Agreements/SLA’s are reviewed, followed and adhered to, relative to each school

Manage and monitor the bookings process for all secondary school and clubs lets within Xcite venues, ensuring use of space is optimised, and that a fair and consistent process is applied. This will include ensuring clubs meet our T&Cs, and where there are any gaps or discrepancies in information, these are resolved timely

Ensure all bookings are charged at the appropriate rate and undertake an annual pricing review for club lets, commercial activities and schools casual use products in-line with WLL’s pricing strategy. This will include being cognisant of any political considerations that would affect any pricing decisions taken

Regularly liaise with key stakeholders, strategic partners and community clubs to develop effective relationships

Develop commercial programmes and activities within the school's programme to attract new users, retain existing customers and increase usage and income. This includes liaising with Marketing to advertise available booking slots

Ensure that all staff, let holders and contractors are working to the highest standards to ensure a safe and secure environment. This includes implementing and managing health and safety policies and procedures for each venue and working with WLC partners to resolve issues where necessary

Liaise with the school, property maintenance staff and contractors to ensure that assets are maintained to the highest standard. This will include consulting with WLC and PPP Mgt contractors to plan safe access during each schools’ annual maintenance or lifecycle programme

Lead, Manage and develop the performance of staff to ensure they know their role and understand how they contribute to delivering our vision and values. This will include providing annual performance development reviews, and training to onsite staff where applicable

Ensure that normal operating procedures are implemented and all Xcite policies and procedures are adhered to by staff. This will include any relevant WLC procedures as appropriate

Deputise for the Area Manager as required

Essential Qualifications, Experience and Skills

  • Demonstrates excellent core organisational competencies and excellent management competencies
  • 1-2 years management experience, preferably in a similar environment and managing staff
  • Managing safety in a similar leisure environment
  • Have obtained or willing to work towards:
  • IOSH (Institution of Occupational Safety and Health) Managing Safely within the first year
  • Recognised First Aid at Work qualification within the first year
  • Knowledge of sport and leisure programming
  • Debt management experience
  • An ability to speak confidently and fluently, and hold the attention of others
  • Excellent written and verbal communication skills
  • Good administrative skills and competent to write reports and letters
  • Ability to prioritise and work to deadlines
  • Highly competent level of skill with Excel, Word, PowerPoint and MRM
  • Willingness to continuously develop and attend training and development sessions in line with your personal training plan, on occasion out-with your normal hours of work, to ensure the required level of competence

Desirable Qualifications, Experience and Skills

  • A commendable secondary school education achieving 3 Highers or more or equivalent
  • National Pool Lifeguard Qualification
  • Proficient in the use of MRM Information Management System
  • Experience of implementing Health and Safety standards
  • Experience of raising service standards
  • Good budgeting skills
  • Good project management skills
  • Good report writing skills
  • Good planning skills
  • Knowledge of membership administration and sales techniques
  • Hold a current UK driving licence

Job Dimensions

As a member of the Xcite Management Team, provide leadership and motivation to peers, colleagues and direct line management at the location(s) below for Duty Supervisors/Lifeguards/Receptionists/Administrators – Mostly lone working

As a member of the Xcite Management Team lead on the delivery and achievement of the service improvement plans for the location(s), including determining resource allocation and ways of working

  • Liaise effectively with partners within West Lothian Leisure, local clubs, user groups and other partners organisations
  • Contribute to the preparation of budgets
  • Responsible for the submission and/or authorisation of timesheets
  • Contribute to cross-functional team and short life working groups
  • Responsible for dealing with Critical Incidents on site
  • Where applicable provide cover for Duty Manager/Duty Supervisor
  • Responsible for maintaining accurate records

Additional information

This post is subject to a Protecting Vulnerable Groups (PVG) scheme check

Hours will be worked on a shift rota basis and will include evenings and weekend working

You will be required to be available for emergency call outs

You will be required to be aware of current Health and Safety Policy and to take responsibility for your own safety and the safety of others who may be affected by your acts or omissions at work
